Booking of Sports Halls - Booking Procedures & Regulations

A) Booking Procedures (For Staff / Student)

Users may make hall bookings via the Online Booking System for Amenities (OBSA) from 16 January 2019 onwards. Users should use their myOUHK account to log in.

Please refer to the user guide available on front page of the OBSA for step-by-step booking procedures.

Hall fees can be settled online by credit card payment or by cash at Shroff. Location and office hours of the Shroff are as follows:

Location: Room A0317, 3/F, Cheng Yu Tung Building, Main Campus

Opening Hours: Monday to Friday: 9:00 am – 5:45 pm (closed on Saturdays, Sundays and Public Holidays)

Please contact our Facilities Management Services (Hong Yip) at 3140 2413 at least one working day in advance for special request on court setting.
C) Rules and Regulations on Use of the Sports Halls

Hall users must read all booking procedures and regulations before booking. By confirming the hall booking, user agrees to follow all regulations in relation to booking/use of the sports halls.

For the sake of energy conservation, air-conditioning in the sports halls will be arranged according to bookings. Air-conditioning will be arranged in advance for booked sessions as per booking record at 5:00 pm of the previous working day. Please call 3120 2413 during office hours if you need assistance.

Each user may reserve a maximum of 2 court hours per week in each sports hall and not more than 2 hours per day.

Number of guests shall not exceed half of the total number of users in that respective booking.

Confirmed bookings are not transferable nor cancelled. Paid fees are not refundable.

Users should keep a copy of the booking confirmation (PDF file in confirmation email) and bring it along with student/staff card when using the sports halls. The documents are for verification purpose.

For safety reason, the maximum number of players allowed in each court is as follows:

Basketball court (6/half court, 12/full court)

Volleyball court (12/court)
-
Badminton court (4/court)
-
Table Tennis court (4/court)

Users shall not conduct any other activities in the sports halls except the designated/approved ones. Please contact Finance and Facilities Management Unit, Facilities Management Office (FMO) for approval on non-designated activities.

On use of changing rooms:

Please respect personal privacy and refrain from taking pictures or recording in changing rooms.

Lockers in the changing rooms are for halls users' sole use. Unauthorized use is strictly prohibited.

Users are advised not to store any valuables in the lockers.

Locker users have to bring their own padlocks.

All padlocks should be removed immediately after use.
FMO will remove all remaining padlocks and empty the lockers upon closing hour of the sports halls. Items found in the lockers would be treated as lost items and be handled according to OUHK policy. The OUHK is not liable for any loss or damages (including padlocks) in connection with the use of the lockers.

Please refrain from bringing food into the sports halls.

Guests must be accompanied by users throughout their stay in the sports halls. Users will be responsible for the conduct and behaviour of the guests they bring in.

Please wear non-marking rubber-soled sports shoes and appropriate sportswear when using the sports halls.

Users are responsible for the security of their personal belongings, which must not be left unattended at all times.

Users will be held responsible for all damages caused to the sports halls. All damages must be reported to the security guards immediately. Users should not rearrange or remove sports facilities in the sports halls.

If users are found to be causing disturbances to other users, they may be rejected from using the sports halls.

No private coaching is allowed.

FMO may refuse any person from using the sports halls if he/she does not comply with the above regulations. In such event, the booking will be cancelled automatically and paid fee will be forfeited.

FMO may revise the above regulations and arrangements when necessary.
